WORKSHOP & SEMINAR

Workshops, seminars and continued training are important activities of the organization so they need to be properly planned and implemented:

Planning the Workshop
o Formulate and define theme(s) and subjects of event;
o Agree and set dates;
o Recruit organizing working group(s) – ensure support within your organization
o Recruit conference staff/assistants.
o Financial Planning
o Logistic matters

Targeting the Right Audience
o Prepare a brief person specification – the type of people you think will benefit most from attending;
o Recruit chairpersons
o Invite VIPs and other officials
o Invite speaker for opening address
o Invite keynote speakers
o Determine who is welcoming VIPs and other officials
o Recruit opening address and keynote speakers, and panelists.
o Registration and Mailing
o Final registration and final mailing

Communication and Promotion
o Confirm all acknowledgements, including logos to be included on all material for the workshop – flyers, reports, adverts, website announcements, posters, etc.
o Prepare a brief description of the event and use as the basis for internal communication (within your own organization);
o Compile mailing list of specialist/trade journals;
o Compile mailing list of people useful to invite – a ‘hit list’ of people desirable to have attend, e.g. national
o Print first announcement circular and pre-registration form

Planning and Preparing the Program
While developing the program and its content, remember to check, where appropriate, the following elements:
o Confirm who will make the opening address and welcome
o Plenary sessions;
o Parallel working sessions/ break-out groups
o Poster and display set-up
o Timing of the call for papers, posters and abstracts
o Availability of or need for guidelines for presenters/ speakers – amongst other things this should confirm

Additional Information, which may be of use to participants
o Electricity (voltage, plug-socket system)
o Telephone/fax/e-mail facilities for participants
o Public telephone facilities (cards, coins, tokens)
o Photocopy facilities
o Emergency numbers (police, fire, ambulance)
o Medical services
o Climate in the workshop period and advice for participants on clothing
o Money – currency information, exchange facilities, etc.
o Access to cash dispensers and credit card facilities
o Need for each individual to ensure they have their own travel insurance
o Visa requirements and a clear statement that it is the responsibility of each individual participant to ensure they secure the appropriate visa.

The strategic planning process is key in helping an association to develop a vision of where it will be in the future and determining the best ways to turn that vision into reality.

And we aim to includes resources and guidelines on all aspects of strategic planning, from beginning the process to monitoring its implementation after the plan has been worked out in order to obtain the most effective performance of the association.

Events: Manually manage by the organization base on a standard format and exposed online for all interest, registration and payment
Storage and access: Fully linked with the administration software to give members with access to all information, news and updates, gallery, abstract and papers created by the organization day by day.
Announcement & printing: This online tool allows member and administrators to “by your self” printing of all required documents such as event’s announcement, certificates and others offered for different event and activities by the organization.

Steps to the success……

The Goal
Define your goals and set ford fundamental elements for your fundraising operation…who and when? …. how much we need and for what?

The Mission / Your Message
If the goal answers the question, “How much money do you need?” then the mission answers the question, “Why do you need it?”  What is your association’s mission?  What do you plan to do with the money you raise?  What is your operating budget, and why is it the amount it is?

The Tactics
Once you know how much you need to raise and why you need to raise it, you need to figure out how you are going to raise the full amount. What tactics will you use to raise your goal amount this year?  Next year?  The year after?  Go into detail here, and figure out a goal for each of the tactics that adds up to your total goal.

Some common tactics include:
1. Individual Giving – Asking major donors to make gifts to your organization.
2. Major Donor Groups – May include board giving, a finance or development committee, etc.
3. Events – Both large and small.
4. Direct Mail
5. Telemarketing
6. Online and E-Giving
7. Grants – Foundations, Corporate, Government
8. Corporate Giving Programs
9. Annual Giving and Multi-Year Giving Campaign

The Timeline
Many organizations stumble here – they come up with a solid budget, have a great mission, and draw up a plan that includes a solid group of fundraising tactics, but fail to set timelines, and thus never seem to get things done.
